Frequently asked questions

Answers about Documenti — patient management software built for UK aesthetic clinics.

Getting started

What is Documenti?

Documenti is clinic software for UK aesthetic practices. It brings patient records, treatment maps, clinical notes, and digital consent forms into one simple system — designed for use in the treatment room on tablet or desktop.

How do I get access?

Documenti is available through early access. Request early access with your email and we'll be in touch to get your clinic set up.

How long does setup take?

Documenti is built to be usable from day one — no lengthy implementation project. Most clinics can start capturing patients within a short setup window once access is granted.

Pricing

How much does Documenti cost?

Documenti is £29 per seat per month. Every seat includes full access to patient records, treatment maps, clinical notes, and digital consents — no feature tiers or add-ons.

What counts as a seat?

A seat is one team member with their own login — typically a clinician or practitioner who needs access to patient records and treatment maps. Reception-only staff who do not need clinical access may not require a seat; contact us if you are unsure for your clinic.

Is VAT included?

Prices shown on our website exclude VAT. VAT will be applied where applicable for UK business customers.

Are there setup fees or contracts?

No setup fees. Billing is monthly with no long-term lock-in — either party can end the subscription with 30 days' written notice. See our Terms & Conditions for full details.

Features

What is included on each seat?

Patient records, visual treatment maps with injection tracking, aesthetic consultation templates, digital consent forms with audit trail, and access on tablet, phone, and desktop — all included on every seat.

Does Documenti work on iPad in the treatment room?

Yes. Documenti is designed for use during consultations on tablet as well as desktop, so your team is not tied to a reception PC.

Is Documenti only for injectables?

Documenti is purpose-built for aesthetic clinics — treatment maps and templates suit injectable and broader aesthetic workflows. It is not a generic GP or hospital system.

Security & compliance

Is Documenti GDPR compliant?

We design Documenti with UK GDPR requirements in mind. Patient data is handled securely, and our Privacy Policy explains how we collect and process information.

Are digital consents suitable for CQC inspections?

Documenti stores signed consents against the patient record with an audit trail — supporting the documentation clinics need for regulated aesthetic practice. You remain responsible for your clinic's compliance processes.

Where is my data stored?

Documenti is built and operated by Apavai Ltd, a UK-registered company. Patient and clinic data is hosted on Google Cloud Platform in the EU (europe-west1 region, Belgium). Data is encrypted in transit and at rest. See our Privacy Policy for more detail.

Support

Where is support based?

Documenti is UK-based. You get support from real people via email — not anonymous ticket queues.

How do I contact you?
